What data we process

• Contact form: name, email, message when you contact us.
• Event support: as part of organising events for clients, we receive data such as names, contact details, and guest/registration info via email or shared documents. This is generally processed on the client's instructions, who remains the data controller for it. For this category of data, EventsIdea acts as a processor, processing personal data solely on the instructions of the client, who remains the controller. The terms of this processing are set out in a separate data processing agreement between EventsIdea and the client.
• Payments: bank/payment confirmation details, via our payment provider we don't store card numbers.

Why & legal basis

We process personal data on the following legal bases, depending on the purpose:

• Performance of a contract: to deliver our event planning and project management services and to process payments.
• Legal obligation: to comply with tax and bookkeeping requirements.
• Consent: where you have submitted a contact form or otherwise explicitly agreed to be contacted.
• Where we process event or guest data on behalf of a client as a processor, that processing takes place under the agreement (including the data processing agreement) between [Company name] and the client, rather than on an independent legal basis of our own.

Sharing

We don't sell data. We share it only with providers needed to deliver our service (e.g. event venue, event catering, registration, production team) and our accountant, under agreements as required by law. Where any of these third parties are located outside the European Economic Area (EEA), we ensure appropriate safeguards are in place for such transfers, such as the European Commission's Standard Contractual Clauses.

Retention

Contact messages: 12 months. Booking/payment records: 7 years (Dutch tax law). Client event data: only as long as needed for the service, per client instructions.

Your rights

You can access, correct, delete, restrict, or port your data, and object or withdraw consent. Contact: info@eventsidea.nl. 

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) if you believe your personal data is being processed unlawfully.

Security

We take appropriate measures to protect your data against loss or unauthorised access.
